Sending Individual and Mass Notifications

Accessing the Notification Service

Notifications can be sent from one of five places in the application:
  1. The Enrollees tab on the main navigational menu
    1. Both the "Assigned to me" and "Active" tabs allow you to send mass notifications
  2. From the enrollee Profile > Notifications tab
  3. From the enrollee Profile > Request Button> Notification
  4. From the portal, click the Globe icon on the enrollee profile and/or main enrollee tab from the navigational menu. 
  5. Reports Tab in the Navigational Menu

Sending a Notification to One Enrollee

  1. Go to the enrollee list or directly to the enrollee profile (noted above) and select the Globe Icon.
    1. Select the Send Notification tile.
  2. Select the notification tab within the enrollee's profile. 
    1. Click on +Notification
  3. Click on the Request Button at the top right.
    1. Select Notification.

 Sending a Notification to More Than One Enrollee

  1. This can be completed from either the "Assigned To Me" or the "Active tab."
  2. You can filter your enrollees or all active enrollees by selecting the Show Filters button to specify a specific group of enrollees to send the notification to
  3. Notes
    1. (Ex - Phone type, Language, Entity, Assigned User)
    2. Sending a mass notification to another user's caseload must be completed from the "Active" tab.
  4. Once you have the enrollees you want, select the Select All button to select everyone in the list
  5. Select the Mass Notification button

 Enter The Notification Details

  1. "Select From A Template" - This allows you to choose from a previously created template. These templates can be created and saved within the "Templates" tab in the Navigational Menu.
  2. "Notification Type" determines how the message will be sent. If you leave this field to "To Be Determined," the system will automatically check the enrollee's phone type and send the message accordingly. Please note a phone number and phone type must be entered on the enrollee's profile.
    1. Mobile with App will be a push notification.
    2. Mobile without App will be a text (SMS)
    3. Landline will be a call (TTS)
  3. Time Zone will default to the user's logged-in time zone. You can change this to the enrollee's time zone if it is different from your own
  4. Set up a recurring schedule if you want to schedule recurring messages (Optional)
  5. Enter a delivery window. This is the date and time the message will be delivered.
    1. If you select more than 20 enrollees to send a notification to, those messages will be sent over a window of time instead of an exact time. You will enter a start and end period to schedule this window. 
  6. Enter the message you want to send to the enrollee(s) in the message field.
  7. Select Save

  • URLs cannot be sent via push notifications; they can only be sent via SMS.
  • URLs can be added to the EnrolleeApp through the Resources tab at the entity level and reference the KB article on adding resources.

Notes
 Notification messages cannot be longer than 320 characters.

Sending a Mass Notification Using the "Reports" Tab

To send a Mass Notification via the "Reports" tab, you can quickly notify a specific group of enrollees, such as alerting individuals of a testing site closure due to inclement weather.

Steps to send Mass Notifications:

  1. Go to the "Color Code" tab.
  2. Navigate to the "Calendar" sub-tab.
  3. Your entity is displayed by default, but you can search for and select sub-entities if needed.
  4. Double-click on the calendar day when drug test notifications are scheduled to be sent.
  5. Select "Mass Notification."
  6. In the "Calendar" sub-tab, select an entity with notifications already "sent" or "scheduled to send" to proceed.
  7. Complete the notification or cancel as required.

Canceling Notifications

One-time or recurring notifications can be canceled before they are sent within the platform. However, a notification cannot be canceled if it has already occurred and been sent to the enrollee. A cancel button is available in all areas where a notification can be sent. This icon appears as a circle with a line through it.
