How to Use the Search Bar within the Platform

The search bar, located in the top right corner of the platform, is a powerful tool that allows you to quickly find and access information about Users, Enrollees, Corrections Officers, Victims and Entities. This guide will walk you through the steps to use the search bar and what information you can access.

Searching with the Search Bar

    1. The search bar is situated in the top right corner of the platform's interface.
  1. Entering Search Criteria

    1. You can search for Users, Enrollees, Corrections Officers, Victims and Entities using the search bar.
    2. For Users, Enrollees, Victims and Corrections Officers, use the naming format: Last Name, First Name.
    3. Within the search bar at the top-right of the page, Enrollees can be searched by Enrollee ID, CORIS ID, Enrollee Name, Enrollee Email, Enrollee Phone Number, Case ID and SSN (last 4 digits).

Executing the Search

  1. After entering your search criteria, press Enter or click the search icon to display the results.

Understanding the Search Results

Once you hit Enter, the search results will display information categorized under Enrollees, Entities, and Users.
  1. Enrollees

    1. Name: The enrollee's full name.
    2. Identification Number: A unique identifier for the enrollee.
    3. Entity: The entity associated with the enrollee.
    4. Device Information: Details including hardware, phone type, device ID number and logged in status.
    5. Active Status: Indicates whether the enrollee is currently active.
    6. Globe Icon: Access Portal Tiles

The portal icon only displays for Active Enrollees.
  1. Entities

    1. Name of Entity: The full name of the entity.
    2. Parent Entity: The parent organization or entity associated with the entity.
    3. Active Status: Indicates whether the entity account is currently active.
  2. Users

    1. Name: The user's full name.
    2. Entity: The entity with which the user is associated.
    3. Active Status: Indicates whether the user account is currently active.

Important Notes

  1. When searching for a User, if their name has ever been edited, you should search using their full name in the format of First Name, Last Name.
  2. To view more details, double-click the User, Enrollee, or Entity name. This action will take you to their profile page.

Viewing Profile Pages

Depending on the user's permissions, the fields on the profile page may be view-only.
  1. User Profile Page: Contains detailed information about the user.
  2. Enrollee Profile Page: Provides comprehensive details about the enrollee.
  3. Entity Profile Page: Displays information related to the entity.
  4. Only TenantAdmins and SysAdmins can access an entity's profile page.
