What is ShadowMessage?

ShadowMessage is a continuous messaging solution that replicates both the visual aspects and functionality of iOS messaging. ShadowMessage displays message threads chronologically, as well as provides read receipts and location data informing the user of the enrollee's whereabouts throughout the conversation. These new message alerts are sent to the enrollee via Push Notifications and messages can be viewed and replied to through the EnrolleeApp. 
ShadowMessage is available through the EnrolleeApp and is compatible with both Andriod and iOS.

When a new ShadowMessage(s) is received, a badge is displayed at the top of the ShadowtrackONE platform page. It displays from any page in the platform, and when clicked, takes the user directly to the Messages page. This keeps new messages seperate and at the forefront from other notifications.

How To Access ShadowMessage from the Navigational Menu:

From the ShadowtrackONE platform you can find the "Messages" tab within the left Navigational Menu. When selecting the "Messages" tab you will see the following:
  1. Search bar- this search bar allows the user to quickly search for existing message threads by enrollee name
  2. New Message- allows the user to search by enrollee name and create a new message thread. The user will type the initial message in this window and once sent, the thread will populate. User messages are indicated in a black conversation bubble and the enrollee messages are indicated in a green conversation bubble. 
  3. Unread- by toggling this to ON (indicated by a green slider) only unread message threads will appear within this page. The unread message will also appear in red lettering.
  4. My Enrollees Only- When toggled on, only message threads for your enrollees will be shown
  5. A list view of all message threads is also displayed within this page to the left. You can select any message thread to open it by clicking within the box that contains the enrollee's name and photo. The last message as well as the date and time stamp will also be displayed here. 
  6. Show Officer Name Below Message- Selecting this checkbox will display the officer's name under each message sent to the enrollee. Turning this setting off will hide the officer's name. 
  7. Send new messages and replies within a thread from the text field box below the thread at the bottom of the page. It will say "To:(enrollee's name)" with a blank text field below.
  8. Images and URL links can be sent through ShadowMessage to the enrollee. Typing in or pasting a URL into the message field will create a hyperlink for the enrollee to open when sent through ShadowMessage. Images can be attached to ShadowMessages by selecting the paperclip icon, and selecting an image from your desktop files.
  9. When within an enrollee's ShadowMessage thread, you can also export the thread by selecting the "Export" button at the bottom right of the page. Exports are in PDF format and are limited to 1,000 messages per export. To export more than 1,000 messages, exports will need to be done in batches by date/time.
All messages within the thread are stored chronologically displaying the most recent message at the bottom. 

Location data for the enrollee is captured upon the first enrollee message sent or initial enrollee reply received, and continues to capture location data every 5 minutes throughout the duration of the conversation. 

A read receipt is displayed at the bottom of each user message when the enrollee opens the message, displaying "Read-(date) (time)"

Location data is also captured when the enrollee initially reads a message and continues to capture location data every 5 minutes throughout the duration of the conversation if the enrollee is reading multiple messages without responding.

How to Access ShadowMessage from the Enrollee Profile:

Messages can also be created and viewed within the enrollee's profile page. To find this follow the steps below:
  1. Go to the enrollee's profile you wish to send a message or view messages.
  2. Select "Notifications" > "Messages" > "Mobile"
    1. Here you will see the message thread displayed in chronological order from the most recent at the top. 
    2. You can also enter and send new messages from the text field box above the thread.
    3. Images and URL links can be sent through ShadowMessage to the enrollee. Typing in or pasting a URL into the message field will create a hyperlink for the enrollee to open when sent through ShadowMessage. Images can be attached to ShadowMessages by selecting the paperclip icon, and selecting an image from your desktop files.
    4. You can export the message thread by selecting the "Export" button at the top right of the page. Exports are in PDF format and are limited to 1,000 messages per export. To export more than 1,000 messages, exports will need to be done in batches by date/time.

How to Access ShadowMessage from the User Profile:

  1. TenantAdmins can access their messages as well as users messages. Users can only view and create messages within their profile.
  2. Go to the user's profile you wish to view messages for.
  3. Select "Messages". You will see a red number next to the "Messages" tab indicating the number of unread messages.
    1. You will see the following displayed:
      1. Search bar- this search bar allows the user to quickly search for existing message threads by enrollee name.
      2. New Message- allows the user to search by enrollee name and create a new message thread.
      3. Unread- by toggling this to ON (indicated by a green slider) only unread message threads will appear within this page. The unread message will also appear in red lettering.
      4. A list view of all message threads is also displayed within this page to the left. You can select any message thread to open it by clicking within the box that contains the enrollee's name and photo. The last message as well as the date and time stamp will also be displayed here.

Mass ShadowMessages can be sent to multiple enrollees, saving the user time when sending a message that applies to more than one enrollee. To send a Mass ShadowMessage:
  1. Select "Mass Notification" from the enrollee dashboard.
    1. You can preselect enrollees from the dashboard to include in the message by single-clicking on their names and then selecting "Mass Notification". Also, you can first select "Mass Notification" and then use the "+Enrollee" button within the popup to search and select the enrollees to include.
  2. For "Notification Type" select ShadowMessage.
  3. Fill in all fields in the notification window and select "Send".
These mass messages will be sent in the EnrolleeApp and appear in the enrollee's "Messages" button on the app home screen. These messages can be viewed in the platform from the "Messages" tab in the left navigational menu, from the "Messages" tab within the user's profile page, and from the "Notifications" > "Messages" tabs within the enrollee's profile.

Alert
When sending a ShadowMessage to an enrollee is not logged in, or an enrollee that is not on the EnrolleeApp, a pop-up will appear stating "This enrollee is currently not logged into the EnrolleeApp. Do you want to continue?"

NotesAssigned users will always be notified when there are new messages from their enrollees. If the most recent message in a conversation (or "thread") is more than 30 days old, that thread will no longer appear in the main messages list. However, these threads can still be found by using the search bar at the top of the messages list within the Messages tab, or by navigating to the enrollee's profile > Notifications > Messages tabs.

Non-assigned users (those who are not the Assigned User for an enrollee) will receive notifications if they send a message to an enrollee who is outside of their caseload. However, if the most recent message in that thread is more than 30 days old, the thread will no longer show up in the main messages list. The Assigned User will continue to be notified of any new messages from that enrollee, but the non-assigned user will not be notified. Once the message thread is hidden due to being over 30 days old, it can still be found by searching for the enrollee's name in the search bar at the top of the messages list within the Messages tab, or by navigating to the enrollee's profile > Notifications > Messages tabs.

An email notification will be sent to the user if a ShadowMessage is not read after 20 minutes. This email includes the enrollees message within the body of the email.
