Introduction

This article provides a step-by-step guide on adding a new enrollee to the ShadowtrackONE platform using the EnrolleeApp. These steps ensure the enrollee has the necessary information, services, zones, and schedules.
Important: Enrollees must have a smartphone to enroll using the EnrolleeApp.

How to Add a New Enrollee on the ShadowtrackONE Platform

To add a new enrollee, follow these steps:
  1. The dashboard is the default landing page after login and is also accessible from the left navigation menu under the 'Enrollees' tab.
  2. Alternatively, you can add a new enrollee from the 'Entities' tab
  1. Start the Enrollment Process

    1. Click the +Enrollee button to open the Enrollment Wizard, which consists of four steps

Step 1: Enrollee Info

  1. Enrollee Info—Enter as much information as you want about the enrollee here. The name, language (applicable to the EnrolleeApp), and time zone are required fields. 
    1. Entering an address here will automatically create a Home Zone for the enrollee in Step 3.
    2. The time zone will be defaulted to the logged-in user's time zone. Please be sure to update this if the enrollee is located in a different time zone
    3. Assign a user so that someone is notified when a non-compliant event or alarm is triggered
    4. The start and end dates indicate whether the enrollee is active in the application. If not, they will not be able to log into the app. 
    5. Case Info (Optional) - Enter an offense, case ID, and start/end dates if desired. The case ID can be used as an identifier for the enrollee. You can search for enrollees using their case ID number. 
  2. Select Next

Step 2: Add Services

  1. Select the Phone Service: 
    1. EnrolleeApp - the enrollee will receive an automated text promoting them to log in to and enroll in the app if this is selected
    2. Landline/Mobile without App - the enrollee can utilize the text (SMS) and call (TTS) features if either one of these options is selected
  2. Disregard the ShadowAlertness field. This service is not intended for enrollees. Please refer to the article here for more details on the ShadowAlertness solution
  3. Optional Settings: Enable settings such as Sobriety Inbound, Hearing Impaired, or Persistent Locations.
  4. Assign Shared Exclusion Zones by selecting "Yes" and choosing Shared Zones from the dropdown list.
  5. Select Next

Step 3: Add Zones

  • If an address was entered in Step 1, a Home Zone will be automatically created.
  • You can modify or add more zones (options include Circle, State/County, or Polygon).
  1. Polygon - custom shape
  2. State/County - state-wide and county-wide zones. Note - county-wide zones are only available upon request
  3. Circle - circle zone with a radius
  • Set the zone properties, such as:
  1. Default Location: Whether this zone is the default for schedules.
  2. Exclusion Zone: Mark Yes or No.
  3. Home Zone: Mark Yes to track time spent in this zone.
  • Once you have entered the address, hit the Find Location button
  • Save the zone after entering the address and resizing it as needed.
  • Select Next once you have finished adding all of the desired zones

Step 4: Setup Schedule

  • Select a day on the calendar or click +Schedule to create a new schedule.
  • Select the start date and the period start and end times.
  • Choose the type of schedule for the enrollee.
  • The minimum and maximum number of calls, then click 'Save' in the bottom-right corner

Finalizing Enrollment

  • After completing the four steps, the enrollee will receive an SMS with:
  1. A link to download the app (Apple App Store or Google Play Store).
  2. Instructions for getting enrolled, login credentials, and a setup video.
