Add a New Enrollee: EnrolleeApp
Introduction
This article provides a step-by-step guide on how to add a new enrollee to the ShadowtrackONE platform using the EnrolleeApp. By following these simple steps, you'll ensure the enrollee is set up with the necessary information, services, zones, and schedules.
Important: Enrollees must have a smartphone to enroll using the EnrolleeApp.
Always be sure that the Enrollee has the latest version of the EnrolleeApp downloaded. It is best to encourage enrollee's to turn on Automatic Updates for the EnrolleeApp.
To add a new enrollee, follow these steps:
Navigate to the Enrollee Dashboard
- The dashboard is the default landing page after login and is also accessible from the left navigation menu under the 'Enrollees' tab.
- Alternatively, you can add a new enrollee from the 'Entities' tab.
Start the Enrollment Process
- Click the
+Enrollee button to open the Enrollment Wizard, which consists of four steps.
Step 1: Enrollee Info
- Enter the enrollee's basic information (name, gender, phone number, etc.).
- Phone Number: If not added, you’ll be prompted later to either add one or continue without it.
- Required Fields: Fields marked in red are mandatory.
- Address: Entering an address here will automatically create a Default Zone for the enrollee in Step 3.
- Timezone, Entity & Assigned User: The timezone defaults to the logged-in user’s timezone, the entity defaults to the user’s entity and the assigned user defaults to the user logged in. Update these if necessary.
- Primary ID (Optional) - This field is meant for Social Security numbers only. If a number less than 9 digits is entered into this field, an error will occur when saving the profile, as well as editing the profile after it has been created.
- Case Info (Optional) - Enter an offense(s), case ID, and start/end dates if desired. The case ID can be used as an identifier for the enrollee. You can search for enrollees using their case ID number. Descriptions can be added for each offense. Case information and Offenses are displayed within the enrollee's Profile tab in the "Cases" sub-tab.
Step 2: Add Services
- Phone Service: Select 'EnrolleeApp' from the dropdown.
- Optional Settings: Enable settings such as Sobriety Inbound, Hearing Impaired, or Persistent Locations.
- Assign Shared Exclusion Zones by selecting "Yes" and choosing Shared Zones from the dropdown list.
- If enrolling on the EnrolleeApp only, click 'Next'.
- If assigning hardware, select the device under 'Device Service'.

Step 4: Setup Schedule
- Select a day on the calendar or click
+Schedule to create a new schedule. - Choose the type of schedule for the enrollee, then click 'Save' in the bottom-right corner.
Finalizing Enrollment
If an enrollee is utilizing TextNow or similar WiFi service, the enrollee will receive their login credentials text when connected to WiFi. The enrollee can then install the enrollee app and complete their enrollment. The EnrolleeApp will function as normal anytime the enrollee is connected to WiFi.
A phone number must be input in Step One and a phone type selected in Step Two in order for the enrollee credentials to be sent via text.
If the enrollee is not receiving the text containing their credentials, the cell carrier may have blocked the text or marked as "Spam". Have the enrollee text "START" to 888-611-7830. This will opt the enrollee into receiving automated texts from Shadowtrack, and their credentials can then be obtained.
