Creating the Enrollee Profile

To create a new enrollee profile:
  1. Go to the Enrollees tab from the main navigational menu
  2. Next select the +Enrollee button

Enrollee Info

  1. The 4 step enrollment wizard will open, complete the following steps:
    1. Enrollee Info - Enter as much information here as you would like for the enrollee. The name, language (Applies to the EnrolleeApp), and time zone are required fields. 
      1. The address entered here will automatically be entered when you create a new zone for the enrollee
      2. The time zone will be defaulted to the logged in user's time zone. Please be sure to update this if the enrollee is located in a different time zone
      3. Assign a user so that someone is notified when a non compliant event or alarm is triggered
      4. The start and end dates indicate if the enrollee is active in the application or not. The enrollee will not be able to log into the app if they are not active. 
    2. Case Info (Optional) - Enter an offense, case ID, and start/end dates if desired. The case ID can be used as an identifier for the enrollee. You can search for enrollees using their case ID number. 
  2. Select Next

Add Services

  1. Select the "Phone Service" if applicable (Should only be selected if you plan to utilize the EnrolleeApp or other Shadowtrack solutions in addition to the hardware)
    1. EnrolleeApp - the enrollee will receive an automated text promoting them to login to and enroll in the app if this is selected
    2. Landline/Mobile without App - the enrollee can utilize the text (SMS) and calling (TTS) features if either one of these options is selected
  2. Select the "Device Service"
    1. ShadoWatch - Wrist worn GPS tracking device
    2. ShadowDevice - Ankle worn GPS tracking device
    3. ShadowPhone - Mobile phone that functions as a GPS tracking device
    4. ShadowCuff - Ankle worn GPS tracking device
  3. Once you select the "Device Service", you will see the option to assign the hardware by using the "Actions" button. Next, select the device you would like to assign from the list of available inventory. 
  4. Select Next

Add Zones

  1. Select the type of zone you would like to create for the enrollee. Zones allow you to specify inclusion and exclusion zone areas for the enrollee. You can add as many zones as you would like. Your options are:
    1. Polygon - custom shape
    2. State/County - state wide and county wide zones. Note - county wide zones are only available upon request
    3. Circle - circle zone with a radius
  2. The Default Location is always set to yes. The Exclusion, and Home fields are defaulted to no.
    1. Default Location - this zone will be utilized as the primary location for the enrollee
    2. Exclusion - be sure to select yes if you are creating an exclusion zone
    3. Home - when this is enabled, you will be able to download a "House Arrest" report that calculates the length of time the enrollee was inside the exclusion zone. 
  3. Enter the zone name and address, select "Find Location" button. Modify the radius as desired and select "Save".

Note - if a shared zone was created at the entity level, it will become available when you create a schedule. You won't see the shared zone on the enrollee's zone tab until you finish creating the new profile. 
  1. Select "Next" once you have finished adding all of the desired zones

Setup Schedule and Protocols

It is important to create schedules if you would like to specify time frames when an enrollee should or should not enter/exit a zone
  1. Select the "+Schedule" button or click on the calendar to create a new schedule
  2. Select the "Device Schedule" button
  3. Next, Enter the device schedule details
    1. Zone - choose the zone the schedule is associated with
    2. Zone type - designate if this is an inclusion or exclusion zone
    3. Window Start/End - Specify the time frame of the schedule
    4. All Day - enable this setting if you would like this schedule to be 24/7
    5. Recurrence - enter how often the schedule recurs
    6. Schedule Exception - this allows you to specify time frames when an alarm will not be generated if the enrollee has been allowed an exception to their schedule guidelines (Ex - Doctor appointments, court appointments, allowed travel)
  4. Select "Save"
  5. Once you have created your schedules, select the "Protocol" sub tab here to assign your protocol next. It is important not to forget this last step. The protocol designates what steps of action will occur and who will be notified when an alarm is triggered for the enrollee. 
    1. Select the "Assign" button here to assign the desired protocol and then select "Save"
  6. The enrollee profile will automatically be created and you will be re-routed to their new profile
