New Enrollment - ShadowInteractive (Interview)

Create the Enrollee Profile

To enter the enrollee data in the application and set them up to use the interview service:
  1. Go to the enrollees tab, select the +Enrollee button
  2. You will see the 5 step enrollment wizard. Fill in the information accordingly
    1. Step 1 - Enrollee Info

      1. Enter the enrollee first and last name
      2. Enter an address if you would like the enrollee to be at a specific location during their interviews
        1. If a shared zone has been set up for you entity, you do not need to enter an address here
      3. Language - The enrollee app and IVR system (Used by landline enrollees) are available in both English and Spanish. Please ensure the language on the enrollee mobile phone is set to Spanish if you choose the Spanish language. 
      4. Time Zone - this field will default to the logged in user's time zone. Be sure to adjust this field if the enrollee is in a time zone other than your own
      5. Entity - this field will default to the entity the logged in user is assigned to. Be sure to adjust this field if the enrollee is going to be assigned to an entity other than your own
    2. Step 1 - Phone Number

      1. Select the +Phone button to enter a phone number
        1. Enter the phone name
        2. Chose the phone type
          1. Mobile with app should be selected for enrollees using a smartphone that can download apps
          2. Landline should be selected for enrollees that do not have a mobile phone
            1. Enrollees using this phone type will call into the shadowtrack IVR system to complete their interviews
          3. Mobile without App should be selected for enrollees that are using a mobile device but the phone is not a smart phone and cannot download apps
            1. Enrollees using this phone type will be treated as landlines and will call into the shadowtrack IVR system to complete their interviews
        3. Enter phone Number
        4. Primary Phone
          1. Defaults to yes. You can add as many phone numbers as you like but the primary phone will be used to contact the enrollee
      2. Select Save to add the number
      3. Select Next in the bottom right corner to proceed to the next step
    3. Step 2 - Case Info

      1. This tab is optional. Select the +Case button to enter an offense or case specific information for the enrollee
      2. Select Next in the bottom right corner to proceed to the next step
    4. Step 3 - Add Services

      1. Select the service type. Your choices for the interview service are either Mobile or Landline depending upon the type of phone the enrollee is using.
        1. Mobile - If you choose this option, the enrollee will utilize the EnrolleeApp to complete all interviews
        2. Landline - If you choose this option, the enrollee will utilize a landline telephone to complete all interviews
    5. Step 4 - Add Zones

      1. Create a zone if you would like the enrollee to be at a specific location during the interview. Otherwise, select next to proceed to the next step.
        1. Available zone types are:
          1. Polygon - Custom shape
          2. State/County
          3. Circle
            1. You do not have to add a zone here if you do not want the enrollee to be at a specific location during their interview
            2. You do not have to add a zone here if your entity has a shared zone set for all enrollees
        2. Select Next in the bottom right corner to proceed to the next step
    6. Step 5 - Setup Schedule

      1. Select the +Schedule button here to create your schedule
      2. Select the Interview Schedule option
        1. We highly recommend utilizing schedule templates for interviews. The template must be created at the entity level prior to being able to assign it to an enrollee. 
          1. To utilize an interview schedule template
            1. Select  a template from the drop down field located at the top of the schedule page
            2. Select Apply, then select Proceed. You will notice all of the fields are automatically filled in for you from the template. The only two fields you need to fill in here are:
              1. The schedule start date/time - this time is specific to each enrollee so you should enter the start date according to when you want the enrollee checking in for their interview
              2. Zone - If you wish to utilize a zone for the interview, select the zone from the drop down list for either the Shared Zone field or the Zone field
                1. Please note you cannot utilize both a shared zone and zone simultaneously since the schedule can only be associated with one zone at a time
              3. Select Save Schedule
          2. To manually add an interview schedule, please refer to the article here for instructions on manually creating interview schedules
    7. Select Save to create the enrollee profile

      1. If the enrollee is utilizing the EnrolleeApp they will immediately receive a text with their enrollment credentials and instructions
        1. The enrollee can now enroll by downloading the app and logging in or by calling into the IVR system to complete their voice enrollment
